Entry Level Accounting Assistant

Entry level position in a small accounting department supporting architects and interior designers. The Accounting Assistant position is responsible for performing all accounts payable (AP) and accounts receivable (AR) functions and day-to-day bookkeeping tasks for our company. If you have bookkeeping or AP/AR experience and are looking for your next challenge, this position is for you.

Essential Functions

· Set-up project accounts in accordance with project contract terms, maintain all project related files and close projects upon completion.

· Enter accounts payable invoices received.

· Timely process AP payments as instructed.

· Maintain AP files.

· Enter and process employee expense reports.

· Enter corporate monthly expenses and process for payment.

· Compile and prepare project related back-up as needed.

· Handle cash receipts and match corresponding consultant invoices for payment.

· Process incoming and outgoing mail for the accounting department.

· Enter payroll journal entries into accounting system.

· Reconcile bank statements and AP statements of account.

· Assist with monthly billing invoices.

· Assist with monthly, quarterly, and yearly tasks and analysis projects.

· Provide administrative support answering phones or locking doors if needed.

· Other miscellaneous office duties as needed.

Requirements

· Associate Degree in Accounting or related field.

· Must be able to appear in-office 8:00am – 5:00pm Monday – Friday.

· Electronic and paper filing organizational skills.

· Task management skills.

· Takes their time and pays close attention to details to ensure accounts and data entered electronically is accurate.

· Efficiency in performing tasks independently.

· General knowledge of accounting or project accounting software.

· Proficiency in Microsoft Office (Outlook, Word, and Excel).

· General technical proficiency with computers and general office equipment.

· Excellent interpersonal skills.

· Possess professional manners and work ethic.

· Knowledge of project accounting preferred, but not required.

· Understanding of architectural design firm, engineering firm or construction industry operations preferred, but not required.
